How to use the Donor Retention Quick Wins
This is a dashboard-format analytic that brings three complementary views of donor retention into a single workbook. It is built on the data from analysis QX162 (year-over-year retention by segment), QX24 (Middle donor retention by giving frequency), and QX184 (Top segment tenure and recapture). All rates are shown as true percentages so they can be compared directly.
The Retention by Segment tab shows year-over-year stay rates for the Top, Middle, and Bottom tiers, which tells you at the highest level where you are holding donors and where you are losing them. The Middle Retention by Frequency tab digs into what actually drives Middle retention by grouping donors into giving-frequency bands, revealing how much a second or third annual gift changes the odds a donor stays. The Top Tenure and Recapture tab shows how long your best donors remain consecutively active and how often lapsed top donors come back.
These distinctions matter because retention is not one number. A healthy overall rate can hide a leaky Bottom tier or a Middle that only retains its most frequent givers, and knowing which lever moves which group is what makes retention work actionable rather than aspirational.
You should refresh this at least quarterly and review it with the annual giving and stewardship leads. Focus your retention program on the segment and frequency band with the weakest stay rates first, since that is where a modest lift produces the largest absolute gain, and use the tenure view to prioritize personal stewardship of long-tenured top donors before they lapse.
Measure success by improvement in the weakest segment's year-over-year retention rate, by more Middle donors moving into higher frequency bands, and by a rising recapture rate among lapsed top donors.
