How to use the Top Donor Profiles
This is a dashboard-format analytic that gives you an analytics-driven profile of your top donors and their giving history. It is built on the data from analyses QX32 and QX131 (top-donor frequency and amount scoring), QX36 (a five-year score history), and QX207 (a recency-based lapse predictor), brought together so you can study any one top donor in depth.
The dashboard opens on a leaderboard of your top 10 donors ranked by their last full fiscal-year giving, showing each donor's share of last-year revenue, current-year giving to date, five-year amount and frequency scores, months since their last gift, lifetime giving, and their assigned fundraiser. From there you open the Donor Profile tab and select any covered donor from a dropdown to see that individual's full giving story in one place, and the Donor Notes tab lets you keep qualitative context alongside the numbers. Line 4, the view dropdown, allows you to filter the donors available in the donor dropdown on line 8 to various subsets of the Top Donor universe, i.e. Top 100, All Top Donors from the CFY or LFY, only Donors with assigned fundraisers, oir only New Top Segment Donors. There are three Fundraiser filters and these are OR filters, i.e. donors who have any of the assigned fundraisers slected will appear. The Fundraiser filters are AND filters with the view filter. The Donor filter lets you select individul donors from within the filtered options chosen.
The scores and signals are what make this more than a giving list. The five-year amount and frequency patterns tell you whether a donor is trending up or cooling off, the months-since-last-gift figure flags donors drifting toward lapse, and the lapse predictor gives you an early warning while there is still time to act. Seeing an unassigned top donor on the leaderboard is itself an alert worth acting on.
You should review this during planning periods and before any major-donor meeting, and it belongs in the hands of your gift officers and director of development. Use each donor's profile to prepare for cultivation conversations, prioritize outreach to top donors showing lapse risk, and make sure every high-value donor has an assigned fundraiser.
Measure success by improved retention of your top donors, by full fundraiser coverage of the top tier, and by more informed, better-prepared cultivation of your most important relationships.
